POSITION SUMMARY:

This position is distinguished from other clerical positions in that it performs duties for the lead administrator of the school. This role will manage and supervise all clerical staff in the building, support and manage the administrators calendar and inbox and provide general office leadership. 

 

QUALIFICATIONS:

  1. Effectively demonstrates the ability to perform the essential functions.
  2. Experience working directly with individuals and families from diverse racial, ethnic, and socioeconomic backgrounds.

  4. Excellent written and verbal communication skills and the ability to present to diverse audiences to foster professional relationships and express and/or exchange ideas.

  6. Proficiency in the use of a variety of office/instructional equipment and technology with experience using Microsoft Office, Google Workspace, and email.
  7. Demonstrated leadership qualities and personal characteristics necessary for working effectively with students, teachers, administrators, and the community.

 

ESSENTIAL FUNCTIONS:

  1. Takes all industry standard precautions to protect students, staff, equipment, materials, and facilities.
  2. Maintains appropriate state licensure; assumes responsibility for and participates in staff development (professional growth) and training to keep materials, supplies, and skills up-to-date.
  3. Follows appropriate safety procedures and properly maintains equipment.
  4. Actively participates in and attends all required meetings.
  5. Maintains confidentiality when appropriate.
  6. Complies with and supports school division policies, regulations, procedures, and the HCPS Strategic Plan.
  7. Schedules appointments and maintains the calendar for the site administrator. 
  8. Partners in managing the email accounts of the principal.
  9. Provides primary leadership in event planning, applicant processing, and managing personnel files. 
  10. Oversees and manages general office operations and provides leadership to clerical staff.
  11. Responsible for payroll processing including recording and reviewing staff absences and communicating information to division finance department.
  12. Support preparation of purchase and temporary service agreements. 
  13. Manages timesheets of custodial staff and monitors overtime requests and usage.
  14. Maintains recording and communication system for workers compensation. 
  15. Manages building key and key fob system.
  16. Responsible for use of facility agreements as external requests are made. 
  17. Responsible for managing teacher licensure information.
  18. Effectively performs other duties as assigned by immediate supervisor.



PHYSICAL DEMANDS / WORK ENVIRONMENT:

Light work, lifting up to 25 pounds occasionally, and/or up to 10 pounds frequently.  Regular travel throughout the school and effectively interact with students, staff, and the school community.  Regular contact with staff members is required.  Not substantially exposed to adverse environmental conditions.

 

EVALUATION:

Performance will be evaluated in accordance with school board policy and administrative regulations on the evaluation of administrative or licensed personnel.
